QNMU - Secretary to MSS Team

The Queensland Nurses and Midwives' Union has two exciting opportunities in its Member and Specialist Services Team available on a temporary full-time contract basis until 23 December 2022.

The QNMU is the industrial and professional organisation for nurses and midwives working in public and private health and aged care in Queensland. The QNMU seeks to promote and defend the industrial, professional, social, political and democratic interests of over 67,000 members. We have over 190 employees including organisers, professionals and administrative personnel, and manage a multi-million-dollar operating budget.

In this role of Secretary to the Member & Specialist Services Team (internal position title), you will have the opportunity to use your exceptional administrative skills whilst also making a real difference in the lives of nurses and midwives!

Reporting to the Member Servicing Coordinator, this role is an integral part of the Member & Specialist Services Team in providing administrative and secretarial support to ensure the efficient and effective functioning of the overall team.

Key responsibilities include:

  • Delivering quality administrative and general secretarial support including diary management;
  • Interaction with members and if required employers via phone and/or email;
  • Performing accurate word processing and data entry;
  • Maintaining accurate files through the records management system;
  • Contributing to the planning of the team; and
  • General office management.

Working as part of a busy team, you will possess a professional demeanour and strong communication skills to liaise with key stakeholders including regular communication with our members. You will have a demonstrated ability to work under pressure and to meet deadlines, and consistently display a collaborative and team-focused approach to your work. Additionally, you will have a demonstrated ability to handle sensitive information and maintain confidentiality.

To be successful in this role, you will possess the following: -


  • Education, training and/or relevant experience equivalent to the completion of Year 12 coupled with relevant work experience in a similar office-based role;
  • Intermediate to advanced skills in the Microsoft Office Suite including Microsoft Teams;
  • Ability to easily adapt to different computer systems or able to quickly acquire the skills to use various systems;
  • A demonstrated commitment to QNMU’s values, purpose and trade unionism in general.
  • A mature, proactive and professional approach to work;
  • Demonstrated ability to establish priorities and use initiative;
  • Well-developed written and verbal communication skills to effectively liaise with colleagues, members and employers (where applicable); and
  • High levels of organisational, time management and problem-solving skills.


  • Experience with diary management;
  • Previous experience formatting and filing applications for legal/industrial tribunals;
  • Prior experience using RecFind or similar records management system.
